Updated Registration Policies, effective September 2012

Private Lesson Registration Policies
Once a student registers for private lessons with a teacher, subsequent semester registrations are done through the private teacher.  

Ensemble Registration Policies
  • Ensembles are open for new registrations at the beginning of fall and spring semesters. Audition-only ensembles will hold new member auditions at the beginning of each fall and spring semester. 
  • When space permits, late registrations will be accepted at full cost.
 
Class Registration Policies
  • Registration for classes can be made online or over the phone. Classes fill up quickly; register early to guarantee the student’s place in the class.
  • Payment in full must accompany all class registrations unless a payment schedule has been approved upon registration by the registrar.
  • BW does not mail class registration confirmations. Conservatory Outreach will contact students only if a class is filled or canceled.
  • When space permits, late registrations will be accepted at full cost.
 
Registration Fee
A registration fee of $15 per student is charged at the beginning of each academic year (in the fall) or when the student enters the program. The registration fee is charged each year the student remains in the program.
 
Payment of Fees
  • Private lesson and ensemble payments are due upon receipt of the billing statement.  Class payments will be made at the time of registration.
  • Cash, check, or credit card (VISA, MasterCard, Discover) payments are accepted.  
  • A Late Fee of $10 will be added to any account with an unpaid balance 45 days after the first billing date. Future enrollment will not be permitted if prior semester fees are not paid. Additionally, an ensemble participant with an unpaid balance will not be permitted to perform in the final semester concert if fees are unpaid.
  • Late Fees will carry over to the following semester’s invoice if they are not included in the payment.  
 
Unpaid Balance/Suspension
  • A student may not continue to participate in the next semester if there is an outstanding balance on the account. Instruction may be resumed when the balance is paid in full and the office has been contacted regarding payment. No credits will be given for missed classes while under suspension, nor for lesson times scheduled during this period.
     
  • Any unpaid bill over 150 days past due will be turned over to University collections. To avoid this, please contact the Registrar to arrange alternative payment options.
     
  • Checks returned and credit cards declined due to insufficient funds will be charged a $30 insufficient funds recovery fee. 
     
  • The Conservatory Outreach Department does not accept responsibility for lost or undeliverable mail
    or email communication. If you have requested email delivery of your invoices, please add mkurtz@bw.edu to your email address book to ensure delivery.
     
  • The Outreach Department reserves the right to process a Baldwin Wallace University student’s total charges owed, including a late fee, on the student’s University tuition account if a bill is unpaid at the end of the semester.
     
  • Adult students, parents or guardians may request to be enrolled in a payment plan. There is a $10 service fee for a payment plan. To set up a plan, please contact the registrar at mkurtz@bw.edu.
 
Canceled/Missed Classes
Class make-ups are given only when the teacher cancels an entire class. Notification of a student absence is a courtesy to the teacher; payment for the missed class is required.
 
Cancellations/Absences for Private Lessons
Students are charged for all lessons for which they register, including those missed through student absence. Teachers are not required to make-up lessons missed by a student nor reschedule a missed make-up lesson; payment is required. As a courtesy, students are expected to notify their teacher directly of any impending absence from lessons. If a teacher is absent for a lesson, a make-up will be offered during the designated make-up week (last week of semester) or at some other mutually agreed upon time.
 
Class Refunds/Withdrawal
Full refunds will be made if a class has insufficient enrollment or is cancelled. Refunds for class tuition (less a $15 processing fee) will be given only when a student notifies the office of intention of withdrawing from the class at least seven days prior to the first day of class. If a withdrawal is received after that date but before the first day of the class, the credit for tuition will be applied to the student’s account (less processing fee and any materials/book fees) for future class selections. Credits on accounts are valid for one year from the date of credit.  Withdrawals after the first class date receive no refund. 
 
Ensemble Refunds/Withdrawal
Students who withdraw from an ensemble before the third rehearsal will receive 75% refund. Students receive no refund if they withdraw after the third rehearsal. If a student’s ensemble fees have not been paid at the time of withdrawal, an updated invoice will be sent reflecting the fees still due. Withdrawal from an ensemble must be submitted in writing or via email to the Conservatory Outreach office before the third rehearsal.
 
Private Lesson Refunds
Every effort is made to place students with teachers able to meet students’ individual needs. In the rare case of irreconcilable differences, a term refund (less the fees for lessons given) may be requested no later than the third lesson. Otherwise, refunds are made only under the most extraordinary circumstances. Petitions for refunds must be made in writing. If approved, refunds will be sent within 30 days. 
 
Photo/Video Release
Students, parents and/or guardians may be photographed or videotaped during classes, ensemble rehearsals, private lessons or concerts. These photos/videos may be used for publications, on the BW web site, the Conservatory Outreach Facebook page or for other educational or publicity purposes. In such cases, there will be no compensation, recognition, or acknowledgement to the student, parent or guardian.          
 
Scheduling
  • The Outreach calendar is based on the BW academic year and consists of three semesters (fall and spring and a flexible summer semester). Each semester is billed separately. 
  • Private lesson days and times are scheduled directly with the teacher.
  • Classes and Ensembles follow the semester schedules that are listed online for each individual group.
 
Dismissal Policy
The Outreach Department reserves the right to dismiss any student due to lack of interest, frequent absences, frequent tardiness, behavioral problems, delinquency in payment of fees and/or failure to abide by policies.
 
Emergency Closings
In the unlikely event of an emergency closing, rehearsals, classes, lessons and concerts will not be rescheduled and tuition will not be reimbursed. Conservatory Outreach cancellations will be announced by a recorded message at 440-826-2365 and posted on the Conservatory Outreach Facebook page: (www.facebook.com/bwconservatoryoutreach). Classes cancelled a second time within the same semester will be rescheduled.
 
Baldwin Wallace University Staff/Faculty Benefits
BW Faculty and staff, spouses, and their dependent children, are eligible for a waiver of the registration fee, and a 10% discount on all classes and ensembles. Private lessons are not discounted.
